PACK 409 Meeting Minutes

Date: June 7, 2014
Time: 2:00 p.m. – 7:00 p.m.
Location: Jennifer’s House

Members Present:
Carla Darocy, Clint Ferguson, Ben Gass, Roland Gilmore, Jennifer Holweger, Jon Kruger,  Ron Lambert,  Michelle Parker, 

Annual Planning Meeting (Hybrid! Dates + Minutes + Action Items All in a Jumble)

June 2014:
9th-13th, Twilight Camp, 5:00 p.m. – 9:00 p.m. each night at Northeast Metro Park
18th, Pack Meeting (Water Wars) - 7:00 p.m. outside FLC
20th, P6 Party, 5:30 p.m. limo from FUMC, party at Falcon Pointe 6:00- 9:00

Jon and Jennifer will need lists from each den leader for attendance at summer activities to determine who gets awards

July 2014:
2nd, Pack Committee Meeting, 7:00 p.m. in FLC
12th, Hot Dogs in the Park, 10:00 a.m. -2:00 p.m. at Pfluger Park
19th Popcorn Sales Training (for whom?)
21st, Show & Sell orders due

Details for HDIP will be ironed out at July committee meeting
Roland has the rain gutters for the regatta
Someone will grab 5 gallon buckets from the FLC attic to bring to HDIP
Michelle will determine what the July 19th popcorn training is
Michelle has some concerns about the Council Popcorn Kernel giving the impression that we might no longer be able to see at gas stations. Also unclear if individuals find willing locations and ask them to fill out form.
We could accept credit card payment for popcorn sales. Ron will set up a Pack 409 PayPal account. Would parents need readers? Would the pack provide readers that parents check out with the popcorn before each Show & Sell shift? What app would parents need for their phones?
Michelle will distribute a flier w/ popcorn dates during HDIP and boys who were top sellers will give testimonials about popcorn selling fun
        o At a future meeting she will show a popcorn promo movie that Greg will help make

August 2014:
1st, Popcorn sales begin
6th, Pack Committee Meeting, 7:00 p.m. in FLC
20th, Pack Meeting, 7:00 p.m. in FLC
23rd, Water Rockets, 8:00 a.m. – 12:00 p.m. (location to be confirmed…)
24th, Show & Sell ends

Will need a portable air compressor/generator for Rockets
Jon will contact Hill Country Bible Church to see if we can use their field for Rockets

September 2014: 
3rd, Pack Committee Meeting, 7:00 p.m. in FLC
9th, Brookhollow Recruiting Night, 6:00 p.m.- 8:00 p.m.
8th-11th, Recruiting activities @ BES & PES
17th, Pack Meeting, 7:00 p.m. in FLC
27th, Cub-o-ree, at Bastrop

Ron will contact PES re: date for recruitment
Jon will contact BES re: date for recruitment
The cafeteria and gymnasium will be needed
The younger boys and older boys will be separated into 2 groups
Jon will make sure the District people get the stickers to the kids at lunch before recruiting night
Jon is willing to lead the meetings

October 2014:

1st, Take Order Popcorn Sales begin
15th, Pack Meeting, 7:00 p.m. in FLC
24th- 26th, Fall Family Campout at Apache Pass
28th, Take Order due

Ben contacted Apache Pass to reserve sites and as of 6/9/14 has not heard back

November 2014:
1st-2nd, Mega Training for Leaders
5th, Pack Committee Meeting, 7:00 p.m. in FLC
7th- 8th, Take Order distribution
22nd, Pack Meeting (Bake Sale), time? in FLC

Profits from bake sale will be donated to FUMC Food Pantry

December 2014:
3rd, Pack Committee Meeting, 7:00 p.m. in FLC
4th, Popcorn money due in full
13th, Christmas Parade
17th, Pack Meeting, 7:00 p.m. in FLC

PWD cars will be distributed during the Pack Meeting

January 2015:
3rd, PWD Workshop, 10:00 a.m.- 4:00 p.m. in FLC
7th, Pack Committee Meeting, 7:00 p.m. in FLC
16th- 18th, Winter Campout at Cedar Breaks
30th, PWD Check-in, 6:00- 8:00 in FUMC (Admin Bldg?)
31st,  PWD, time? in FLC

The PWD track will be set up during check-in 1/30 p.m.
Ben contacted Cedar Breaks for reservations and sites cannot be reserved until 7/16/14 (8 sites)

February 2015:
4th, Pack Committee Meeting, 7:00 p.m. in FLC
7th, Report to State Parade, early a.m., downtown
7th,  Blue and Gold Banquet, 3:00 p.m. – 8:00 p.m., Fickett Center

We reserved the Fickett Center for B&G for 2/21 but it turns out they did not really reserve it for us
        o The earliest for 2/28 at the Fickett is 5:30 p.m.
        o The Fickett may be available 2/7
        o Alternatively, if it is available we will reserve space at Immanuel Lutheran on 2/21/15 from 3:00 p.m.- 8:00 p.m.

March 2015:
4th, Pack Committee Meeting
7th, Waco Zoo overnight trip for Tigers & Wolves
11th, Pack Meeting, 7:00 p.m. in FLC
28th, NASA overnight trip for Bears & Webelos

Ben reserved NASA for 3/28/15 for 9 Bears and 6 Webelos and 15 adults
        o need to call NASA in January with final numbers
        o the adult count cannot exceed the Scout count
        o tentative payment $1,560; payment check must arrive by 2/13/15

April 2015:
6th, Pack Committee Meeting, 7:00 p.m. in FLC
15th, Pack Meeting, 7:00 p.m. in FLC
24th- 26th, Spring Campout, Enchanted Rock

Ben reserved 6 sites at Enchanted Rock! It’s official!


May 2015:
6th, Pack Committee Meeting, 7:00 in FLC
20th, Pack Meeting (Crossover), 7:00 p.m. in FLC

June 2015:
7th, Annual Pack Committee Planning Meeting, 2:00 p.m. – 7: 00 p.m., location tbd
? P6 Party, on a Friday night, date depends on where we can reserve a pool

July 2015:
18th, Hot Dogs in the Park


Other:
- Jon will ask the FUMC liaison re: help finding a new Cubmaster so we can recharter
- Popcorn sales incentives were discussed. 31% commission with built-in incentives from Trails End. OR, 35% commission if we do our own incentives. 4% to Pack Cash? Gift cards for boys based on sales amount (example of $25 gift card if sell $400.) Extra incentives for Tigers? For den participation?
- Roland volunteered to take an inventory of Pack T-shirts in the FLC attic
- Jon created a budget we can work from and continue using
        o  it was discovered that we were undercharging Webelos 2 for dues
